The role
The Commercial Project Coordinator (CPC) is an integral member of the commercial team responsible for delivering commercial sales projects of varying size and complexity. The CPC is responsible for directing, organizing and controlling project activities, under the direction of a Commercial Manager (CM) & in accordance with branch systems and processes.
What does my day to day look like?
Commercial
- Attend client meetings and assist with determination of project requirements as and when required by the CM
- Assist the CM and CPM in the drafting and issuance of project proposals, RFP’s, tenders, and preliminary schedules
- Prepare project organization and communication charts
- Track the progress and quality of product being provided by design disciplines/specifications
- Use project scheduling and control tools to monitor projects plans, product costs, freight charges and expenditures
- Take an active part in the project issue/risk management process, by contributing to the identification and prioritisation of existing and potential issues and risks, and helping to develop strategies and controls to mitigate these. Use sound judgement to identify which issues and risks should be escalated to CM, State Operations Manager, etc. and prepare relevant reports/documentation
- Effectively and accurately communicate relevant project information to the client, branch staff and commercial team
- Ensure clients’ needs are met in a timely and cost-effective manner
- Raise sales orders, Letters of Intent, Purchase Orders, etc.
- Assist the CM and CPM in the review of quotations to ensure that only fair and reasonable pricing is recommended for approval
- Track, manage and change orders in the system
- Communicate ideas for improving company processes with a positive and constructive attitude, and for developing this attitude in others
- Help build project management capability within the company by collaborating with other staff, coaching and mentoring others and generally encouraging the appropriate use of project management techniques by others.
- Keep the CM and others informed about project status and issues that may impact client relations
Production
- Help branches with any PM3 requirements and training they may need to help support the growing use of Polypanel in the market.
- Communicate issues or concerns with production departments to the State Operations Manager so these can be quickly rectified with minimal impact to the business.
Specific Measures of Success:
Operations
- Accurate project documentation in place and project reporting provided in a timely manner. Measured by feedback from Commercial Manager.
- Ability to field enquiries in the Commercial Manager’s absence, and accurate preparation of project reports.
- Appropriate and timely escalation of issues and risks, presented in an appropriate report format.
- Invoices processed promptly with appropriate sign offs. Budget/Quote vs. Actual Costs are reported on in a timely manner with any variances identified and escalated to the Commercial Manager at regular intervals or as and when required, with recommendations provided for effective solutions.
- Project reporting deadlines consistently met, and any issues resolved or escalated as appropriate.
- Project plan being well aligned with the project timeline, and the Commercial Manager being made aware of any variances.
Relationship Management
- Effective professional relationships are developed and maintained with internal and external contacts.
- Key stakeholders consider that their relationship with the Polyaire is positive and constructive
- A professional image is conveyed in public forums.
What you will bring to the role:
- A relevant qualification in project management.
- 3-4 years relevant experience, including project/portfolio management in a complex environment.
- Experience in a commercial air conditioning environment.
- Contract management experience including contract specification, oversight and monitoring.
- Experience in the development and management of projects.
- Specialist qualification in a relevant discipline.
- A valid driver’s licence.
- Ability to operate in an environment of uncertainty and incomplete information and make well-reasoned decisions.
